1. WORKFLOW ANALYSIS
We will conduct a comprehensive assessment of your company's output environment, overall infrastructure and current information workflow. Our consultants will walk your environment to gain an understanding of end-user requirements, map asset locations, note outstanding issues, and observe the way information currently moves through each department and beyond. We will use proprietary tools to document operating costs associated with your current output and our analyst will generate a report that identifies each device, its utilization, and the costs of toner, service, maintenance, upgrades, leases, etc.
2. OUTPUT STRATEGY
We will then provide you with a plan that offers flexible solutions and streamlined processes to more effectively consolidate print, copy, scan, and fax functions. We will execute best-practice solutions that are simple, cost effective and efficient to close the loop between document creation, output and management. We will insure the balanced deployment of devices across the entire fleet and manage the procurement of devices to insure the correct mixture of mono, color, single-function and multi-function capabilities. We will manage inventory levels, usage and replenishment of supplies, and monitor devices remotely to provide proactive service and support when necessary.
3. RIGHT-SIZE AND RIGHT-PURPOSE
Today’s highly complex and diverse mix of office technologies adds significant cost, complexity and inefficiency to the workplace. By analyzing the output infrastructure in a holistic way, we can determine your best options for right-sizing and right-purposing the output fleet. This means creating a balanced deployment of both single and multifunction, mono and color, and printer and copier based devices where most appropriate. We will help you consolidate your fleet and supplies inventories.
4. MINIMIZE CARBON FOOTPRINT
Proactively managing your fleet of output devices allows implementation of strategies to reduce the carbon footprint of your company. Reducing paper usage and waste not only reduces the amount of trees consumed but helps offset the rising cost of printing those pages. We will show you how to reduce paper usage through duplex or two-sided printing as well as electronic forms and document archival solutions. You can reduce electrical usage by taking advantage of the Energy Star methodology of newer HP devices, the reduced energy consumption of MFPs over stand-alone products, and Xerox solid ink products which can generate 90 percent less waste than comparable laser printing.
5. REMOTE MONITORING
Keeping track of an entire collection of printers, copiers and MFPs across an enterprise is not a task for the faint of heart. Most fleets are multiple vendor mixtures of makes and models at multiple locations. Some are network connected…. Many are not. To help solve these issues, Verity Group utilizes a robust software solution to remotely collect page counts, monitor device status and manage other critical information from printing environments. This powerful tool assists us in device discovery, supplies fulfillment, real-time configuration and cost management. We are able to drill down and examine individual details and historical information on specific printers or copiers. The end result is that we have the ability to easily and unobtrusively monitor and proactively support all of your imaging devices.
6. ONGOING CONTROL, SUPPORT AND IMPROVEMENT
The goal of our Managed Print Services program is to reduce total costs, reduce the amount of printing, reduce the number of devices, reduce the number of manufacturers and models, and reduce the number of vendors. All of this results in control of costs and continuous improvement of processes.
